How to Get Your Publix W2 Form Online (2026 Guide)

Publix posts W2s in PASSport at publix.org by mid to late January. Current associates download directly from the Financial section. Former associates lose PASSport access and need to contact the retirement department. Here’s the step-by-step walkthrough.

Step 1: Get to PASSport

PASSport is Publix’s single sign-on portal that lives at publix.org. It connects schedules (Oasis), pay, benefits, W-2s, performance, and learning, all in one place.

  1. Open a browser and go to publix.org.
  2. Click the PASSport sign-in option.
  3. Enter your associate ID and password.

The Publix PRO app on iOS and Android can also get you into PASSport from a phone. If you use the app regularly, that’s often the fastest path.

Step 2: Authenticate with Microsoft Authenticator

Publix uses Microsoft Authenticator for 2FA. Most current associates set this up during onboarding, but if you’ve replaced your phone, lost the app, or never quite got it working, this is where things stall.

  1. Open Microsoft Authenticator on your phone.
  2. Approve the sign-in request when it appears.
  3. If the app isn’t installed, download it from the App Store or Google Play and link it to your Publix account through PASSport setup options.

If the Authenticator setup is broken, contact your store’s management team or the PASSport help desk before tax time hits. Trying to fix 2FA on January 30 with a deadline approaching is a bad situation.

Step 3: Navigate to Financial

Once inside PASSport:

  1. Look for the Financial section in the main menu.
  2. Click Tax Documents or W-2.
  3. Select the current tax year.

The menu structure has shifted slightly across PASSport updates over the years. If you don’t see Tax Documents under Financial, check under Pay or Year-End Forms.

Step 4: Download the PDF

  1. Click View or Download for the current year’s W-2.
  2. Save the PDF to your personal device.
  3. Confirm the file opens and the wages, withholding, and personal info all look right.
  4. Print a copy if you prefer paper for tax filing.

Step 5: If you’re a former associate

PASSport gets disabled at separation. Former associates can’t sign in.

To get your W-2 after leaving Publix:

  1. Contact the retirement department. Publix’s retirement team handles former associate documentation including W-2s and stockholder questions. The Publix Stockholder Online system runs separately from PASSport and remains accessible for stock and ESOP matters.
  2. Call Customer Care at 1-800-242-1227 and ask to be directed to the right team for former associate W-2 requests.
  3. Request a paper W-2 reissue if the original mailed to a stale address.

Paper W-2s mail by January 31 to whatever address Publix had on file when the form was generated. If you moved after leaving and didn’t update your address, the form went to the wrong place.

Step 6: Verify your address before separation

If you’re planning to leave Publix, update your address in PASSport before your last day. Once you separate:

  • PASSport access disappears.
  • Your address on file is locked for that year’s W-2 mailing.
  • Changing your address afterward requires contacting the retirement team.

This single step prevents the most common former-associate W-2 problem.

Step 7: What to do if nothing works

If PASSport rejects you, paper W-2 didn’t arrive, and the retirement team is slow:

  1. Request an IRS Wage and Income Transcript at irs.gov. Free, available by mid-February, shows the same income data as the W-2.
  2. File Form 4852 as a W-2 substitute using your final pay stub. Use this only as a last resort because it can slow your refund and trigger IRS follow-up.
  3. File an extension (Form 4868) to push your tax deadline to October if you’re running out of time.

Timing reference

  • January 15-25: W-2 posts in PASSport.
  • January 31: IRS deadline. Paper W-2 mailed by this date.
  • February 1-10: Paper W-2 arrives at the address on file.
  • February 10+: Treat as missing if nothing has arrived.
  • Mid-February: IRS Wage and Income Transcript becomes available.
  • April 15: Tax filing deadline.

Publix Stockholder Online is different

If you’re a Publix associate, you likely also have stock through the PROFIT Plan (ESOP) or the SMART 401(k) or both. These run through Publix Stockholder Online, which is separate from PASSport.

The W-2 itself comes from PASSport and reflects your wages from the year. Stock-related forms (Form 1099-DIV for dividends, capital gains reporting if you sold shares) come from Publix Stockholder Online. Don’t confuse the two.

Common issues

Microsoft Authenticator isn’t working.

Replace your phone or app issues are the usual cause. Contact your store management or the PASSport help desk to reset and re-link Authenticator to your account.

My W-2 numbers don’t match what I expected.

Pre-tax contributions to the SMART 401(k) and pre-tax health insurance reduce Box 1 wages compared to your gross pay. This is normal. If the difference is too large to explain, contact HR for a W-2-C (corrected W-2).

I see prior years but not the current year.

Check the tax year selector. The default sometimes shows last year’s. Switch to the current year manually.

I lost my temp password and never got a new one auto-sent.

Contact your store’s management team or the PASSport help desk. The temp-password recovery process at Publix has been known to fail in some cases.

A few Publix-specific notes

Publix is the largest employee-owned company in the US through its ESOP. Your W-2 reflects your wages from the year, but it doesn’t include the value of stock you’ve earned through the PROFIT Plan (which is allocated rather than purchased and shows up on different paperwork).

Publix operates only in the Southeast (Florida, Georgia, Alabama, Tennessee, South Carolina, North Carolina, Virginia). If you transferred between stores within Publix during the year, you should still receive one consolidated W-2.

The Customer Care number 1-800-242-1227 is the catch-all for Publix communications. For W-2 specifically, you’ll usually get routed to HR or the retirement team.

The biggest move at Publix is to update your address and download your prior W-2s before separation. Once PASSport disabled, getting forms out of Publix takes longer than at most retailers.
