You worked seasonal at Macy’s through the holidays. The store let you go on January 8, no warning, just “your assignment has ended.” Now it’s February, your W-2 still hasn’t shown up, and nobody at the store picks up the phone. This is one of the most common scenarios in Macy’s HR, and the company has a process for it. It’s just not well-advertised.
Here are the questions Macy’s alumni actually ask, with answers that match what works.
Which portal should I try first?
Depends on whether your credentials still work.
- If your My Insite login still works: Go to hr.macys.net/insite/, sign in, navigate to Resources > W-2 Online, download
- If My Insite locks you out: Go to TheWorkNumber.com and request your W-2 there
- If TheWorkNumber doesn’t have it: Call Macy’s HR Services at 1-800-234-6229 (the standard HR line, hours vary in W-2 season)
Most ex-associates lose My Insite access 30 to 60 days after separation. If you left in November and it’s now February, try TheWorkNumber first. That’s where Macy’s routes most alumni W-2 requests.
Does this apply to Bloomingdale’s and Bluemercury employees too?
Yes. Macy’s, Bloomingdale’s, and Bluemercury are all under Macy’s Inc. and use the same HR backend (My Insite). Your employee ID from any of the three brands works on the same portal. If you worked at Bloomingdale’s, your W-2 comes through the same pipeline as Macy’s associates.
What if I can’t remember my Employee ID?
Check:
- Your final paystub (top right or near your name)
- Any W-2 from prior years
- Your onboarding email from when you were hired
- A physical employee badge if you still have one
If none of those work, call 1-800-234-6229 with your SSN and date of birth. An HR rep can look it up. Expect a longer call in late January and February.
Do seasonal workers get W-2s?
Yes. If Macy’s paid you even one hour during the tax year, they must issue a W-2 by January 31. Seasonal status doesn’t exempt employers from this.
A couple of common issues for seasonal workers specifically:
- Your employee record may have been closed the day your assignment ended, which cuts off portal access faster than a regular separation
- Your address on file may still be the one you listed during hiring, which may or may not be where you want the W-2 mailed
- Your tax withholding may look low because seasonal wages rarely hit higher bracket thresholds, and that’s correct
What if my W-2 amount seems wrong?
Most seasonal and short-term Macy’s W-2 errors come from timing issues at the end of the year. A common one: your final paycheck posted in the following tax year even though the work was done in the prior year. That’s not actually an error, that’s how payroll cycles work, and the wages count for the year of payment, not the year worked.
Compare every figure against your final paystub:
- Box 1 (federal wages)
- Box 2 (federal income tax withheld)
- Box 12 codes, especially if you had any 401(k) deductions
- State boxes for the state you worked in

I used Payactiv during employment. Does that affect my W-2?
No. Payactiv gives you access to earned wages before payday. The money is still reported as regular wages on your W-2. No separate tax form is issued. Your Box 1 wages equal what you earned, regardless of when you actually received the cash.
I was part of the 150 stores closing. What’s different for me?
Operationally, not much. If your store closed as part of the “Bold New Chapter” restructuring and you weren’t transferred, you’re a terminated employee for W-2 purposes. The same paths apply:
- My Insite if access still works
- TheWorkNumber as the alumni option
- HR line at 1-800-234-6229 as the fallback
- Paper mail by January 31 to the address on file
One thing worth watching: if you received severance as part of the store closure, it’s included on your W-2 as wages (subject to normal tax withholding), not on a separate form. Check that Box 1 reflects both your regular wages and any severance.
What if the paper W-2 never shows up?
Call 1-800-234-6229 and request:
- Confirmation of the mailing address on file
- An update to your current address
- A reissued W-2
Reissues take 10-14 business days. If you moved after leaving and the W-2 went to the old address, USPS rarely forwards it.
What about the Macy’s credit card discount? Does that show up on my W-2?
No. The 20% employee discount (valid across all Macy’s Inc. brands using your store credit card) doesn’t count as taxable income. It’s a price reduction at point of sale, not a reportable benefit. Same for the 30% extra discount events and any coupon stacking you did.
Should I be worried about my W-2 if I still owe Macy’s money on the employee charge account?
No. Your W-2 is based on wages paid, not on debts owed to Macy’s. If you have an outstanding balance on a Macy’s credit card, that’s a separate commercial relationship handled by Credit Customer Service at 1-877-493-9207. It doesn’t affect your tax documents.
Do I need to do anything different if I worked in multiple states?
Yes. If you worked at Macy’s locations in different states during the tax year, your W-2 will show multiple state entries in Boxes 15-17. You may need to file state returns in each state.
If the multi-state information looks incomplete or wrong, call HR before filing. Correcting state-level errors after filing creates amended return cascades across multiple jurisdictions.
What if I filed and then realized my W-2 was wrong?
File an amended return using Form 1040-X federally, plus the equivalent state form for each affected state. Processing takes 16-20 weeks. Refunds come by paper check rather than direct deposit in most cases.
If the error was significant (more than a few hundred dollars), it’s usually worth the hassle. If it’s small, it may not be worth the 4-5 month wait for processing.
Last-resort options if Macy’s HR can’t be reached
The phone lines at 1-800-234-6229 get overwhelmed in late January and February. If you can’t get through after multiple attempts:
IRS Wage and Income Transcript. Shows exactly what Macy’s reported to the IRS. Available at IRS.gov in late May for the prior tax year.
IRS Form 4852. Substitute W-2, filed with your return when the real form is unavailable. Use figures from your last paystub. Expect slower IRS processing.
