Kohl’s W2 forms: your questions answered

Your Kohl’s W2 is available through MyHR at myhr.kohls.com. Current associates use their 7-digit Associate Code to log in and pull tax documents directly. Former associates have a separate login path involving the blue tile on the MyHR page. Both methods work, but the details matter, and a lot of people get stuck on the former employee side.

Where exactly is my W2 in MyHR?

For current associates: log in to myhr.kohls.com with your 7-digit Associate Code and password. Navigate to Self Service > Payroll > View W-2. Select the tax year, and you can view, download, or print the form. Electronic copies are usually available by mid-January, ahead of the January 31 deadline.

You can also reach MyHR by going to kohls.com, scrolling to the bottom of the page, and clicking “Associate Services.” It redirects to the same place.

How do former Kohl’s employees get their W2?

Go to myhr.kohls.com and look for the blue tile labeled “Former Associate Login and W-2 Instructions.” It’s on the main login page, separate from the active associate login fields. Click it and follow the prompts to verify your identity.

The blue tile method requires personal information to authenticate you since your Associate Code and password were deactivated when you left. Some former employees report that the verification questions are tricky, pulling from credit bureau data (things like “Which of the following addresses have you lived at?” or “Which bank holds your auto loan?”). Getting one wrong can lock you out temporarily.

If the blue tile path doesn’t work, you have two fallback options:

H&R Block. Kohl’s has historically partnered with H&R Block for W2 retrieval. Check with your local H&R Block office to see if they can pull your Kohl’s W2 through their employer database. This works best if you’re already planning to file through H&R Block.

Call Kohl’s HR. The associate support line is 844-564-5747. Corporate is at 262-703-7000 (Menomonee Falls, WI headquarters). Ask for payroll and explain you need a W2 reissue.

What if I never received my Kohl’s W2 at all?

First, check the calendar. Paper W2s are mailed by January 31 and usually arrive by mid-February. If it’s before that, your form might still be in the mail.

After mid-February, run through this checklist:

  • [ ] Try MyHR (myhr.kohls.com) using the blue tile for former employees
  • [ ] Check that your mailing address was correct when you left Kohl’s
  • [ ] Call 844-564-5747 and request a paper reissue to your current address
  • [ ] Ask about the H&R Block retrieval option
  • [ ] File IRS Form 4506-T for a Wage and Income Transcript (takes 5-10 business days online)
  • [ ] If the filing deadline is close, use IRS Form 4852 as a substitute W2

Don’t skip straight to the IRS option if you haven’t tried MyHR first. The blue tile works for most people. The IRS route is your safety net, not your first move.

Can seasonal Kohl’s employees access their W2 online?

Yes, through the same process as any other associate. Seasonal workers get a W2 for whatever wages they earned during their period of employment. If you were hired for the holiday season and your employment ended in January, try logging in to MyHR as a current associate first, since your credentials may still be active for a few weeks after separation.

Once your account is deactivated, switch to the former associate blue tile method. Kohl’s hires a large seasonal workforce every fall, and a lot of those workers need W2s for partial-year earnings. The company’s system is designed to handle this volume, but January and February are still the slowest times to call support.

Will my Kohl’s Cash affect my W2?

No. Kohl’s Cash is a store promotion for customers, not employee compensation. It doesn’t show up on your W2 in any form. Same goes for your employee discount savings. The 15% associate discount reduces what you pay at the register, but it’s not considered taxable income and doesn’t appear on tax documents.

The only discount-adjacent thing that could theoretically create a tax event is if you received a prize or award above a certain dollar threshold, which would be reported separately. Regular employee discount usage has no W2 impact.

What does my Kohl’s W2 actually show?

Box 1 is your total federal taxable wages. This includes your hourly or salaried pay, any overtime, and bonuses, minus pre-tax deductions. If you contributed to Kohl’s 401(k) plan or had health insurance premiums taken out pre-tax, your Box 1 will be lower than your gross annual earnings.

Box 2 is the federal income tax Kohl’s withheld from your paychecks. If this number seems low relative to your income, check your W-4 on file. Many associates fill out the W-4 during the rush of onboarding and don’t revisit it.

Box 12, code D shows 401(k) contributions. Code DD shows the cost of employer-sponsored health coverage (informational, not taxable).

Kohl’s operates in 49 states, so nearly all associates will have state tax information in Boxes 15 through 17. If you worked in more than one state during the year, each state gets a separate line.

Is Kohl’s W2 process changing?

Kohl’s has been through a lot of identity shifts lately, partnering with Amazon for in-store returns, adding Sephora shop-in-shops to over 600 locations, and trying to figure out whether it’s a department store, an off-price retailer, or something else entirely. None of that has changed the W2 process yet. MyHR at myhr.kohls.com remains the system of record, and the former associate blue tile login is the same path it’s been for years.

That said, retailers undergoing strategic shifts sometimes change payroll vendors or HR platforms with little notice. If you’re a current associate, downloading your W2 electronically as soon as it’s available each January is the safest habit, regardless of what the company does next.

Key Kohl’s W2 deadlines

Electronic W2s appear in MyHR by mid-January. Paper copies are postmarked by January 31 and typically arrive within two weeks. Federal tax filing deadline is April 15.
