If you’ve been chasing your Macy’s W2 and getting bounced between My Insite, TheWorkNumber, and an employee connection portal that doesn’t load right, you’re hitting one of the most frustrating W2 situations in retail. Myth 1: My Insite still works after I leave
Not true. My Insite access is disabled at separation. Former employees can’t sign in to My Insite to retrieve W2s, regardless of how recently they left. This is the source of widespread confusion because most retailers (Target with Paperless Employee, Walmart with MyTaxForm) preserve former-employee access. Macy’s doesn’t.
If you’re still employed and you’ve been thinking about quitting, download your prior W2s before your last day. Once you’re gone, My Insite is locked.
Myth 2: TheWorkNumber.com is straightforward to use
Partially true. TheWorkNumber.com (operated by Equifax Workforce Solutions, separate from but related to mytaxform.com) is Macy’s primary path for former employees. It works, but:
- You need to verify identity (SSN, date of birth, last employer info).
- Macy’s W2s aren’t always indexed quickly under the right employer name.
- Multi-employer accounts can get confused if you also worked at Lowe’s (code 11116) or Walmart (code 10108) through Equifax-related systems.
Steps to use TheWorkNumber:
- Go to theworknumber.com.
- Click “Find My W-2” or the equivalent option.
- Enter your SSN and verify identity.
- Search for Macy’s Inc. as your employer.
- Download the W-2 for the relevant tax year.
If the system can’t find your W2, it may not have been uploaded yet (typical posting window is mid to late January), or your identity verification needs Macy’s to confirm your employment.
Myth 3: My Insite W2 is the same as the paper W2 that gets mailed
True, but the timing differs. The W2 you download from My Insite (as a current employee) or TheWorkNumber (as a former) is the same form as the paper copy mailed by January 31. Electronic delivery just gets you the form a week or two earlier.
If you opted into electronic delivery while employed, no paper copy is mailed. So if you’re a former employee who opted in and you can’t access TheWorkNumber, you have no automatic fallback.
Myth 4: Macy’s Inc. covers all Macy’s-brand entities
True, this is important. Macy’s Inc. owns:
- Macy’s
- Bloomingdale’s
- Bluemercury
If you worked at any of these brands during the tax year, your W2 comes from Macy’s Inc. as the legal employer. Even if you transferred between Bloomingdale’s and Macy’s, you should receive one consolidated W2 for all wages from Macy’s Inc.
Myth 5: I can use the Macy’s discount card for W2 access
Not true. The Macy’s credit/charge card and the Macy’s employee discount are separate from the W2 system. The 7-digit Employee ID (different from your customer credit card number) is what links you to payroll.
If you’ve lost track of your Employee ID:
- Check old pay stubs.
- Check your old badge.
- Call HR support to verify.
Myth 6: Payactiv (the earned wage access feature) shows up on the W2
Not directly. Payactiv lets you access 50% of earned wages early between regular paydays. The total annual wages on your W2 reflect what you were paid, regardless of how often you used Payactiv. So Payactiv usage doesn’t change the W2 amount, but it can affect the rhythm of your final pay if you used it heavily in your last month.
What to do as a current Macy’s employee
- Sign into My Insite at hr.macys.net/insite/.
- Navigate to Resources > W2 Online.
- The auto-login feature (when you’re on the Macy’s network) skips the password step.
- Select the current tax year and download.
The auto-login is great when it works. When it doesn’t:
- Reset your password at pwr.macys.net using Employee ID + last 4 SSN.

- Call Credit Customer Service at 1-877-493-9207 and ask for the right contact for former-employee W2 issues.
- Request a W2 reissue to your current address. Paper W2s mail by January 31 to whatever address Macy’s had when the form was generated.
- Request an IRS Wage and Income Transcript at irs.gov as a backup. Free, available by mid-February.
- File Form 4852 as a W2 substitute using your final pay stub.
What to do if your store closed
Macy’s is closing 150 stores by January 2027, with 66 in 2025 and 14 in 2026 already announced. If your store closed:
- Your W2 still gets generated based on your wages from the year, regardless of whether the store is open.
- The W2 retrieval process is the same as for any other former employee (TheWorkNumber).
- Your separation paperwork should have referenced corporate HR for tax form questions.
- Don’t go to the old store; nobody’s there.
Common issues
“TheWorkNumber.com asks for an employer code I don’t have.” Search by employer name (Macy’s Inc.) rather than a code. Macy’s W2s are indexed by employer name in TheWorkNumber.
“My W2 shows wages that don’t match what I expect.” Pre-tax 401(k), pre-tax health insurance, and HSA contributions reduce Box 1 wages compared to gross pay. Macy’s also uses your charge card for the discount, which doesn’t change wages. If the difference is too large, contact HR for a W2-C.
“I want to import my W2 into TurboTax but it’s not working.” TurboTax import for Macy’s W2s has historically been inconsistent. If import fails, manually enter the data from your downloaded PDF. The numbers are what matter, not the import method.
“I’m a seasonal worker and was let go without notice.” You still get a W2 for the wages you earned. The dismissal method doesn’t change the W2 process. Use TheWorkNumber.

A few Macy’s-specific notes
