With 150 Macy’s stores closing by January 2027 and 66 already shut down in 2025 alone, thousands of employees are being separated from the company every few months. If your store is on the closure list, or if you already left, getting your W2 sorted out now matters more than usual. Portal access doesn’t last forever, and the “Bold New Chapter” restructuring has made the process more chaotic than it should be.

Now the details.
Current employees: getting your W2 from My Insite
My Insite at hr.macys.net/insite/ is the main HR portal for all Macy’s Inc. employees, covering Macy’s stores, Bloomingdale’s, and Bluemercury. You can also reach it through Employee Connection at employeeconnection.net, which redirects to the same place.
Log in with your Employee ID and password. If you’ve forgotten your password, the reset tool lives at pwr.macys.net and requires your Employee ID plus the last four digits of your Social Security number.
Once inside, go to Resources > W2 Online. The system should auto-authenticate and show you available tax years. Select the year you need and download or print the form. Electronic W2s typically go live in early to mid-January.
A note for seasonal workers: if you were hired for the holiday season and your employment ended in January, you’re still a “current” employee when W2s drop. You should be able to access My Insite while your credentials are still active. Don’t wait. Once your account is deactivated, you’ll be routed to the former employee process, which is slower.
Former employees: using TheWorkNumber
Former Macy’s employees access W2s through TheWorkNumber at theworknumber.com. This is the same service many large employers use for employment and income verification.
Creating a TheWorkNumber account requires identity verification. You’ll need personal information like your Social Security number, date of birth, and in some cases, answers to security questions pulled from public records. The process can feel invasive, but it’s a standard verification step.
Once your account is set up, look for Tax Documents or W2 within the portal. Select the tax year and download.
Getting access to TheWorkNumber is the number-one W2 complaint among former Macy’s employees. The identity verification sometimes fails, especially if you’ve recently moved or have a fraud alert on your credit file. If you can’t get through the online verification, call 1-877-493-9207 for manual assistance. Wait times are long during January and February.
Macy’s vs. Bloomingdale’s vs. Bluemercury W2s
All three brands fall under Macy’s Inc., and all three use the same payroll system. Your W2 comes from the same place regardless of which brand you worked for. The employer name on the form will likely show “Macy’s, Inc.” or a related legal entity, even if you worked at a Bloomingdale’s location.
If you worked at two different brands during the same tax year (transferred from Macy’s to Bloomingdale’s, for example), you may still receive a single consolidated W2. But in some cases, internal entity changes can result in two separate forms. Check My Insite or TheWorkNumber for all available documents, not just the first one you see.
Understanding your Macy’s W2
A couple of Macy’s-specific details worth knowing when you look at your form:
Box 1 reflects your taxable wages. If you used Payactiv to access up to 50% of your earned wages before payday, those advances don’t change your W2. Payactiv is an advance on money you already earned, not extra income. Your Box 1 should match your total annual earnings regardless of when you received the funds. The same applies to any Macy’s credit or prepaid card transactions used for your employee discount purchases, since those are after-tax spending, not income.
Box 12 will show code D for 401(k) contributions. If you had Macy’s health insurance premiums deducted pre-tax, those reduce your Box 1 compared to your gross pay. Code DD shows the total cost of employer-sponsored coverage, which is informational and doesn’t affect your taxes.
Macy’s employs people across all 50 states, so Boxes 15 through 17 will vary. If you worked in a state with no income tax (like Florida or Texas), those boxes may be blank or show zero withholding for that state.

The store closure complication
Here’s the thing that makes Macy’s different right now: the ongoing wave of store closures means employees are being separated from the company on a rolling basis, not just at natural turnover points. If your store closed in 2025, you need your W2 for that partial year of employment.
Macy’s is still required to issue your W2 by January 31 even if your store no longer exists. The form will be mailed to your last address on file and should be available through TheWorkNumber once you set up access. But the store-level HR team you used to ask questions to may be gone. If you need help and your store is closed, your best bet is the main support line at 1-877-493-9207 rather than trying to track down a former manager.
Employees whose stores were announced for 2026 closure should download their current W2 from My Insite while they still have access. Don’t assume you’ll be able to log in after your last day.
Key deadlines
Electronic W2s appear in My Insite by mid-January. Paper copies are mailed by January 31. TheWorkNumber access for former employees works year-round, but the site gets hammered in January and February, so logging in earlier is smarter.
Tax filing deadline is April 15 unless the IRS extends it. If you’re missing your W2 after mid-February, start the IRS transcript process (Form 4506-T) rather than waiting for Macy’s to sort it out.
